Meeting of the Arts Commission Committee of the City of O’Fallon, held at City Hall, O’Fallon, IL
PRESENT:

à 2008 event date: Sept 27 & 28 (Saturday 10-5, Sunday 10- 4). Expected: over 5,000 attendees.
à Vendor product photo links online; 120 from US and Canada. No jury fee, no commission. Booth fee: $65 (craft or food). Security 5pm Sat to 9am Sunday. Sponsors: Speed of Light, Craft Magazine. Parks rented large tent & 60 tables. Vendors will get free bagels, muffins, coffee, juice from sponsor. Wiggins reviewed layout. Info booth will have maps and list of vendors. First 100 to show vendor purchase receive free tote bag to draw attendees to first hour of event.
à Publicity: Press Releases going out; mass emails; RFT ads (print, online) running---again, “highest click through rate of the summer” for RFT online; ¼-page Craft insert in BND; BND online; My Space, Face Book; Etsy articles; posts on Craft Magazine website, Etsy, and other blogs; newspaper interviews. Newspaper flyer insert too costly. Discussed Banner locations; additional banners are $65 if we want more. Posters going up. Those taking free survey at Info Booth (“where did you hear about this Festival?”) get a free button.
à Music: Cranky Yellow booking no-cost bands; stage will be area next to pool. $100 for 4 speakers and 2 mikes, band bring the rest, can give out promos & sell CDs.
à Volunteers: needed for info booth and shrinkydink.
à Food vendors: BBQ, Southwest, Greek (salad, gyros), Boy Scouts (hot dogs etc), Coffee.
à Kids Activities: building sand box (volunteers bring sand toys), shrinky dinks with recycled plastic, Girls Scouts “flower” with recycled plastic, Alpacas, knitting lessons, Discovery School hummingbird feeders. Provide their own signs; scouts wear uniforms.
à Misc: Goody bags. Parks rented 20x40 tent, chairs, tables. Cigar lounge? Foam sculptures.
