Meeting Minutes
November 11, 2008 – 10:30 a.m.
Meeting of the Arts Commission Committee of the City of O’Fallon held at Cavins Center, O’Fallon, IL

Item A. Scott Air Force Base Art Center. Gary Olds hosted a tour of the facility on October 28.
- Review of 3rd annual event: Sept 27 & 28, 2008 (Sat 10-5, Sun 10- 4).
- Estimated attendance: 10,000 or more! Attendance higher Sunday than Saturday.
- Autumn’s survey showed that 60 to 70% of vendors sold “more than expected”; vendors liked 2 days (vs 1-day event); did more sales Sunday; 80% will apply next year; food vendors had similar feedback.
- Publicity: utilize RFT award as “Best Festival in St Louis” to solicit sponsors next year.
- Free buttons (to those taking free survey at Info Booth: “where did you hear about this Festival?”) were a big hit! Bags: quantity ordered was exactly right.
- Music: volume reported as “too loud” sometimes. Autumn looking at Sonic Bids (website program) for next year:our page there recruits interested bands who pay us $10 to submit promo, Sonic gets first $100 then we make any additional profit plus it gives us more choices of free bands.
- Kids activities: shrinkydinks and sandbox a hit. Utilize Girl Scouts next year for volunteers, big help.
- Food vendors: next year: let all booths sell drinks (people don’t want to stand in food line then drink line)
- Recycling: need bins! Utilize Boy Scouts for this project in exchange for food booth (no vendor fee).
- Park layout worked great. Next year: empty trash Friday night and schedule this throughout weekend. Market Basket landscaping. Autumn wants to find some gnomes as decorations.
- Revenue/Expenses will be reported next meeting after all figures are in.
- Plans & Ideas for development for next year:
- Room Blocks so SW Tourism can track hotels booked due to Festival; package/discount
- Author Pavilion: book sales/signings/no fee (5 local + 3 Metro East + 2 St Louis = 10 or more); T-shirt sales (many people were asking to buy them); Sheep to Shawl demo by Fiber Guild; Demo “plarn” project: water bottle holder from recycled plastic bags; Cigar lounge? Wine tasting; microbrew tasting; Mini-golf holes in rock area from recycled materials similar to artist exhibit in Minneapolis; DIY Style/Babylocks Sewing Machines: vodcast; upcycling drive, clothing swap, alterations (they would advertise with McCalls and similar to capture specific audience); O’Fallon & SW Illinois Visitors Guides in all bags
- Dates for 2009: Sept 26 & 27 (10am-5pm)
Item C. Arts & Parks Foundation (Hutchison). Board meeting will occur in January.
Item D. Missoula Children’s Theater (Caticchio): “Princess & the Pea” April 13-19, 2009 (9th residency). Hutchison checking to make sure 2009 contract received.
Item E. Backyard Playhouse Summer Youth Theater Camp (Grimmer). Need dates for 2009 for catalog.
Item F. Performing Arts Series (Caticchio, Hutchison). No new information.
Item G. “1% for Public Art”(Hutchison): No new information.
